Key Responsibilities:

Answers calls and general inquiries (in person, over the phone and via email);

transfers and/or redirects calls as required 

Receives, greets and directs visitors in a pleasant and professional manner 

Requests visitors who park on the grounds to register their vehicles 

Ensures all visitors sign in and are tagged with an identifying marker 

Oversees meeting room schedules 

Supports mail distribution between buildings and receives all outside mail and

deliveries 

Maintains the attendance database and signs students in and out 

Provides attendance information to the Head of the Prep in evacuation

situations 

Completes routine clerical duties as required. (Word processing, preparing

labels, envelopes, stuffing envelopes, etc.)

Required Competencies and Experience:

3 years related administrative experience in a service-oriented office 

Minimum of a High School Diploma 

Ability to work with minimal supervision 

Outstanding interpersonal, communication, and customer service skills 

Knowledge of general office practices, procedures and standards 

Ability to exercise tact, diplomacy and sensitivity in dealing with internal and

external contacts 

Good organization and time management skills with an ability to manage and

prioritize a range of requests at one time 

Detail oriented 

Ability to maintain confidentiality 

Strong computer skills, proficient with Microsoft Office tools including Word

and Excel 

Database experience would be an asset
